Note: There are Collaborators within Storyflow, as described below and Collaborators within Launch described here. These may be the same or different individuals depending on the permissions given.

An individual with permission to manage content within a Storyflow Workspace(s).
About Storyflow Workspaces
Storyflow Workspaces are a collaborative Storyflow space where several authors can have access. In structuring a Storyflow Project, Workspaces are the highest in the structure hierarchy:
Workspaces hold the Projects and Scenarios that the learner interacts with in the 3D environment:
You would create different Workspaces if there are different teams working on the content:
In the above example, I have two Workspaces: One for the Workshop Training and one for the Health & Safety training as different teams are working on the content. If the same team is working on the content but the topic of the content is different, then keep the same Workspace and instead create a new Scenario. About Storyflow Collaborators
After you’ve created a Storyflow Workspace, you need to give the appropriate individuals permission to add and manage content. These individuals are called Collaborators.
Setting Storyflow Permissions
Storyflow has two layers of Permissions: Organization and Workspace level permissions.
There is a specific order to add authors (Collaborators) to a Storyflow Workspace and grant permissions:
Step 1: Add Users to Organization in Manage Organization (if not done already).
Step 2: Give Storyflow Organization permissions for Users in Manage Organization
There are two permissions at the Organization level:
Permission Name | Details |
---|---|
Storyflow Organization Admin | An administrator of the Storyflow service. They are able to manage and assign roles for spaces within Storyflow. |
Storyflow Organization Member | Gives the user the ability to access Storyflow and be added to spaces to create training content. |
When an individual with each of these permissions views the Storyflow Administration area, this is what they would see:
Open the main HUB Dashboard
Click Administration
Choose Organization
Click the edit icon next to the user you want to modify permissions for:
Scroll down to the Storyflow area and check the box for the permission you want to add or modify
Save:
Now that the Organization Permissions are set, you can move onto the Storyflow Workspace Permissions.
Step 3: Add Users as Collaborators to Storyflow Workspaces
Collaborators are individuals granted access to Workspaces. You can add a Collaborator to all of your Workspaces, or, only the ones they should have access to.
Open Storyflow
Select the Organization
Click Administration
What you see here is dependent on the Workspaces you have set up in Storyflow. In this example I have three but you may have one or a different number:
For each Workspace, there is a “Collaborators” area. If you click on the “+” icon you can add users that have previously been given access in the Manage Organization area to a specific Workspace. If you click on the main field, you can view the current Collaborators and mange their permissions.
Click the + icon to the right of the Workspace you want to add Collaborators for
Check the names:
Click Add
Step 4: Give Storyflow Workspace level permissions to Collaborators
About Storyflow Organization Permissions
Now that the Collaborators have been added to the Workspace, it’s time to give them the appropriate permissions.
There are two permissions at the Workspace level:
Permission Name | Details |
---|---|
Admin | The Admin permission allows for the wider ability to delete things in Storyflow. Most notably: Delete Bundles, Delete Projects, and Restore Backups. |
Author | An individual that will be authoring content, but does not have access to the deletion permissions that an Admin possesses. |
Steps to Add/Edit the Storyflow Workspace Level Permissions of a User
Navigate to the Administration area of Storyflow
For the particular Workspace you want to add permissions for, click in the main field of Collaborators to view permissions:
Click the dropdown to the right of the Collaborator’s name, and choose the appropriate permission:
Click outside of the box to save changes.
